Getting Started

Everything you need to set up your CleanCalendar account from scratch.

CleanCalendar is a scheduling and management platform designed for cleaning companies, property managers, and short-term rental hosts. It connects three types of users — Vendors (cleaning businesses), Customers (property owners), and Cleaners (cleaning staff) — through a single platform.

  • Vendors manage properties, customers, cleaners, and service requests from a central dashboard.
  • Customers log in to a dedicated portal to view their properties, track scheduled cleanings, and submit new requests.
  • Cleaners use a web portal and mobile app to view their schedule and manage job responses.

Vendor accounts are created by registering at app.cleancalendar.com/register. A 15-day free trial is included with no credit card required.

  • Go to app.cleancalendar.com/register and fill in your name, email, and password.
  • Check your inbox for a verification email and click the confirmation link.
  • Log in and complete your business profile under System Settings.
  • Customer and Cleaner accounts are created by invitation — vendors send invitations from within the portal.

Customers are invited by the vendor from the Customers section of the Vendor Portal.

  • Log in to the Vendor Portal and click Customers in the left sidebar.
  • Click + New Customer.
  • Enter the customer's name and email address, then click Send Invitation.
  • The customer receives an email with a link to set their password and access the Customer Portal.
  • Once they accept, they appear as Active in your customers list.

Cleaners are added from the Cleaners section of the Vendor Portal. You can choose whether they are an Employee or a Freelance cleaner.

  • Click Cleaners in the left sidebar, then + New Cleaner.
  • Enter their name, email, and phone number.
  • Select their type: Employee (auto-confirmed jobs) or Freelance (must accept each job).
  • Click Save. The cleaner receives a welcome email with login credentials and a calendar link for the mobile app.

CleanCalendar works in any modern web browser on desktop and mobile.

  • Web portal: Chrome, Firefox, Safari, Edge (latest versions).
  • Mobile app (Cleaner): iOS 14+ and Android 8+.
  • No installation is required for the web portals — they run entirely in the browser.

Vendor Portal

Manage your entire cleaning operation from one place.

The dashboard is the first screen you see after logging in. It gives you a real-time overview of your business.

  • Stat cards at the top show Total Jobs, Pending, Accepted, and Ongoing counts.
  • The Recent Jobs table lists the last five service requests with property, cleaner, date, and status.
  • The Overview panel on the right shows Properties, Active Cleaners, and job totals.
  • A full FullCalendar view below can be filtered by property, customer, cleaner, and job type.
  • Toggle between Calendar and Agenda views using the button in the top right of the calendar.

Properties represent the physical locations your customers want cleaned. Navigate to Properties > Manage Properties.

  • Click + New Property in the top right.
  • Enter the property name and address.
  • Select Single Unit or Multi-Unit.
  • For single units, fill in bedrooms, bathrooms, beds, occupants, unit size, and check-in/check-out times.
  • For multi-unit properties, save the property first, then use the Units button on the card to add individual units.
  • Click Save Property.

Each property supports iCal synchronisation with external booking platforms so that check-in and check-out dates are automatically imported.

  • Go to Properties and find the property you want to sync.
  • Click the Calendar button (calendar icon) on the property card.
  • Paste the iCal URL from your Airbnb, Booking.com, VRBO, or Google Calendar listing.
  • Click Save. The calendar will sync automatically and show bookings on your dashboard.

Service requests are individual cleaning appointments. You can create them on behalf of a customer or they can submit them directly through the Customer Portal.

  • Click Service Request in the left sidebar.
  • Click + Create Service Request.
  • Select the Property, Customer, Service Type, Cleaner, and Date/Time.
  • Add any notes for the cleaner, then click Save.
  • The cleaner receives an email notification. If they are a freelance cleaner, they must Accept or Reject the job.

Every service request moves through a defined lifecycle. Here is a summary of all statuses:

  • Draft — Created but not yet submitted to the vendor.
  • Pending — Submitted by the customer, awaiting vendor approval.
  • Pending Cleaner — Vendor approved; awaiting freelance cleaner's Accept or Reject.
  • Accepted — Confirmed by vendor and cleaner; job is scheduled.
  • In Progress — Cleaner has checked in via the mobile app.
  • Completed — Job finished and marked complete.
  • Rejected — Declined by vendor or freelance cleaner.
  • Canceled — Canceled by customer or vendor after acceptance.

Navigate to System Settings > Manage Settings to configure your business profile.

  • Enter your Company Name, address, phone, and email.
  • Upload your Company Logo — it appears in all outgoing email notifications.
  • Set your Currency and Timezone.
  • Click Save Settings.

Service types define the kinds of cleaning you offer (e.g., Normal Cleaning, Deep Clean, End of Tenancy). Navigate to System Settings > Services.

  • Click + Add Service to create a new service type.
  • Enter the service name and an optional description.
  • Click Save. The service will appear in the dropdown when creating service requests.
  • To edit or delete a service, use the action buttons on the services list.

When a job is assigned to a freelance cleaner, it enters a pending approval state until the cleaner responds.

  • The job is created with status Pending Cleaner.
  • The cleaner receives an email with subject "New job offer — your response is required".
  • The cleaner logs in to the web portal or mobile app and goes to Manage Jobs.
  • They click Accept or Reject. On accept, the job moves to Accepted and both the vendor and customer are notified.
  • On reject, the vendor is notified so they can reassign the job to another cleaner.

Customer Portal

A dedicated portal for property owners to track and request cleaning services.

The Customer Portal is separate from the Vendor Portal and has its own login URL.

  • Your vendor will send you an invitation email when your account is created.
  • Click the link in the email to set your password.
  • After setting your password, go to your-vendor-domain.com/customer/login to log in.
  • Enter your email and password, then click Sign In.

After logging in, you land on the Manage Schedule dashboard which gives you a full overview of your cleaning activity.

  • Stat cards at the top show Total Jobs, Pending, Accepted, and Completed counts.
  • The Recent Jobs table shows your latest five service requests.
  • The Overview panel provides a quick breakdown with a Create Service Request shortcut.
  • A full calendar view shows all scheduled cleanings colour-coded by status.

You can manage your own properties directly from the Customer Portal.

  • Click Properties > Manage Properties in the left sidebar.
  • Click + New Property.
  • Enter the property name, address, and details.
  • Select Single Unit or Multi-Unit.
  • Fill in bedrooms, bathrooms, beds, occupants, unit size, and check-in/check-out times.
  • Click Save Property.

You can submit a new service request directly from the Customer Portal at any time.

  • Click Schedule > View Service Requests in the left sidebar.
  • Click + Create Service Request.
  • Select the Property, Service Type, preferred Date and Time, and add any notes.
  • Click Submit. The request is sent to your vendor for approval.
  • You will receive an email when the vendor accepts or rejects your request.

All your service requests are visible on the View Service Requests page with real-time status updates.

  • Go to Schedule > View Service Requests.
  • Use the status filter pills at the top to filter by All, Draft, Pending, Accepted, In Progress, Completed, Rejected, or Canceled.
  • Each row shows the property, service type, date, and current status.
  • You also receive email notifications whenever the status of a request changes.

Yes, you can cancel a request that has not yet been completed.

  • Go to Schedule > View Service Requests.
  • Find the request you want to cancel and click the Cancel button.
  • Confirm the cancellation in the modal that appears.
  • The vendor will be notified of the cancellation.

Yes, each property supports iCal synchronisation with external booking platforms.

You can reset your password from the Customer Portal login page.

  • Go to your Customer Portal login URL (e.g., your-domain.com/customer/login).
  • Click Forgot your password? below the sign-in form.
  • Enter your email address and click Send Reset Link.
  • Check your inbox for a password reset email and follow the link.

Cleaner Portal

View your schedule, accept job offers, and mark jobs as complete.

Cleaner accounts are created by your vendor. You will receive a welcome email with your login credentials.

  • Check your inbox for a welcome email from CleanCalendar.
  • Click the login link in the email, or go to your-vendor-domain.com/login.
  • Enter your email and the temporary password provided, then click Sign In.
  • You will be taken to your personal cleaning calendar.

After logging in, you see your personal cleaning calendar with all assigned jobs.

  • Jobs are colour-coded by status on the calendar.
  • Click any job to see its full details: property, customer, service type, time, and notes.
  • Use the status filter pills above the calendar to show or hide specific job types.
  • The Manage Schedule sub-menu provides weekly and global schedule views.

If you are a freelance cleaner, new jobs require your approval before they are confirmed.

  • You will receive an email with subject "New job offer — your response is required".
  • Log in to the portal and click Manage Jobs in the left sidebar.
  • Jobs awaiting your response are shown with an amber Awaiting Response status badge.
  • Click Accept to confirm the job — the vendor and customer are notified automatically.
  • Click Reject to decline — you can optionally enter a reason. The vendor is notified so they can reassign.

Once you have finished a cleaning job, you can mark it as complete from the Manage Jobs page.

  • Go to Manage Jobs in the left sidebar.
  • Find the job with Accepted status.
  • Click the Complete button.
  • The job moves to Completed status and the vendor and customer are notified.

The mobile app is available for iOS and Android and gives you access to your schedule on the go.

  • Download the CleanCalendar app from the App Store or Google Play.
  • Your vendor will send you a Calendar Link in your welcome email.
  • Open the app and enter your Calendar Link to connect to your vendor's account.
  • Your schedule syncs automatically. You can check in, check out, and update job status from the app.

CleanCalendar supports two cleaner types with different job confirmation workflows.

  • Employee — Jobs are automatically confirmed when assigned by the vendor. No approval step required.
  • Freelance — Each job must be explicitly accepted or rejected by the cleaner before it is confirmed.
  • Freelance cleaners receive a specific email asking them to respond to each new job offer.
  • Your vendor sets your cleaner type when they create your account.

The Manage Jobs page has status filter pills at the top to help you quickly find specific jobs.

  • Go to Manage Jobs in the left sidebar.
  • Click any status pill: All, Awaiting Response, Pending, Accepted, In Progress, Completed, Rejected, or Canceled.
  • The table updates instantly to show only jobs with that status.
  • Click All to reset and see all jobs.
